As a Centralized Scheduler at HCI, you will serve as one of the initial points of contact for our patients, playing a crucial role in ensuring the consistent delivery of patient-centered care. Your responsibilities extend to creating a positive first impression by warmly welcoming patients and other callers in a friendly and professional manner. You’ll need to be well-acquainted with the contents of our organization’s website, serving as a knowledgeable resource for callers seeking information.

Your duties will also include accurately assessing the nature of calls and promptly directing callers to the appropriate department or person, in line with our practice protocols. Additionally, you’ll be responsible for collecting essential information from both new and established patients and entering it into our electronic scheduling system. As a valued member of our medical office team, your role encompasses a range of tasks, such as answering telephone inquiries, scheduling appointments, preparing electronic patient charts, staying informed about payment processes, and efficiently handling payment collections over the phone. Your dedication to these tasks will contribute to our commitment to delivering quality healthcare services to our community.

Job Duties:

  • Answer the telephone professionally and according to established guidelines.
  • Direct urgent calls to the triage nurse and ensure that prompt action is taken.
  • Take accurate and concise messages according to practice protocols and direct patient clinical calls to the designated nurse and provider.
  • Direct billing calls to the appropriate billing staff member.
  • Direct patient complaints or compliments to the Quality Assurance Leader.
  • Direct all other calls appropriately.
  • Review the HCI website daily to stay informed about services, providers, and organizational changes to answer patient questions accurately.
  • Accurately enter new patient information in the EMR (Electronic Medical Record).
  • Utilize telephone courtesies on all telephone interactions, including placing callers on hold or directing them to voicemail.
  • Accurately update patient information in the EMR.
  • Obtain all insurance information for patient appointments according to practice protocols.
  • Make every effort to determine the accurate reason for a patient’s visit in order to schedule the correct amount of time needed.
  • Correctly cancel and reschedule appointments as needed and document in the patient EMR according to practice protocols.
  • Communicate scheduling concerns or problems to the Centralized Scheduling Lead.

Qualifications:

To excel in this role, you should possess the following qualifications:

  • High school education.
  • Two years of experience in a medical office.
  • Bi-lingual (Spanish) skills are preferred but not required.
  • Must have a working knowledge of Microsoft Office products and familiarity with network systems.
  • The ability to understand and present verbal instructions and exchange verbal information is essential.
  • Excellent organizational, written, and customer service skills are necessary.
  • Ability to travel to all locations and to meetings outside of the service area.
  • Ability to understand verbal communication and instruction, exchange verbal information, and present information verbally.
  • Ability to establish and maintain effective, courteous working relationships with patients, staff team members, business entities, and others.
  • Ability to organize, prioritize, and problem-solve independently.
